Re: 2005 General Assembly and Conference (2nd package of documents)
Dear Friends
The first package of documents for the EPC General Assembly on the 25th of June in Dubrovnik, Croatia, was sent to you on the 25th of January. Following on from these papers, and after the meeting of the EPC Executive Committee last weekend, with three months remaining it is my pleasure to send you the second set of documents for our GA.
You will find the following documents enclosed:
• EPC Executive Committee nomination form
• General Assembly ordinary motion form
• General Assembly mandate form
These documents should be returned to the EPC Secretariat by Saturday the 7th of May, and I would like to take this opportunity to remind you that the EPC Executive particularly encourages members to put forward female candidates for the Executive Committee in an effort to secure gender balance.
As regards the new rights EPC will enjoy as a result of becoming a full member in the new IPC structure, at its meeting last weekend the Executive Committee reached the following decisions, which will be put to the assembly on the 25th of June:
1 The assembly will be asked to commission the incoming Executive Committee to decide upon EPC representation at IPC assemblies and on the IPC Council of Regions.
2 EPC motions to the IPC GA in Beijing in November shall be taken from the floor during the EPC assembly. All approved motions will be submitted to the IPC GA by EPC.
3 EPC nominations to the IPC Governing Board shall be taken from the floor during the EPC assembly. All approved nominations will be submitted to IPC by EPC.
I would ask you to pay particular attention to the two separate procedures for nominations and motions. Nominations to the EPC Executive Committee and motions for debate at the EPC General Assembly in June must be submitted to EPC by Saturday the 7th of May, while nominations from EPC to the IPC Governing Board and motions from EPC to the IPC GA in Beijing shall be taken from the floor in Dubrovnik.
